Annual Meeting Sustainability Initiatives

We are looking to increase the overall sustainability of the Annual Meeting across its three core pillars, environmental, social/cultural, and economic. Here’s how we’ll do it—together.

Pack with Purpose: Make Room to Give Back 

As you get ready for the conference, consider bringing unused notebooks, pens, school supplies, and toiletries to donate to A Place Called Home in Los Angeles. You’ll help local kids start the school year strong—and create space in your suitcase for the great items you’ll pick up in the Expo Hall. This special initiative, supported by ASAE’s sustainability partner, Destination Canada, reflects the economic, social, and environmental pillars of sustainability: reducing waste, supporting local communities, and making thoughtful choices that benefit everyone.
 

Behind the Scenes Sustainability Q&A Walking Tour 

Monday, August 11, 2025  
2:00 PM-3:00 PM 

Meet at: Destination Canada’s Booth (1817) 

Explore how real-world choices shape more sustainable events. Join us for an interactive walking tour starting at Destination Canada’s Booth?(1817). Walk alongside Destination Canada’s Executive Director, Business Events, Virginie De Visscher, and ASAE’s Vice President of International Affairs, Amy Hissrich, on a tour guided by the sustainability lead at the Los Angeles Convention Center, Enjoli Ferrari. We’ll go beyond what you see on site to share the why behind key sustainability decisions. 

Hear firsthand how event organizers weigh options like composting, material reuse, energy savings, and venue certification—and how those choices balance mission, attendee experience, and environmental impact. Bring your questions and see how strategy turns into action in a live event setting. 

Bring Your Reusable Water Bottle, Fill Up, and Get a Sustainability Ribbon 

Help us reduce waste and create a more sustainable event. Pack your favorite reusable water bottle and swing by Destination Canada’s Booth?(1817) during expo hours to top it off and grab a fun compostable sustainability ribbon for your badge. We’ve got plenty of filling stations all around the conference to keep you refreshed and ready to go. 
 


Featured Sustainability Initiative in Collaboration with the American Forest and Paper Association:

AFPA

Paper is one of the most widely recycled materials in America. According to the American Forest & Paper Association, we recycle nearly 60% more paper than we did in 1990! U.S. paper mills across the nation rely on recycled paper to make new products we use every day. This year, we’re asking everyone to do their part by recycling the paper used at Annual in the bins provided. 

Each morning when you finish reading the Daily Now, we invite you to return it to the recycling bins located where you picked it up—either at the Convention Center or at select conference hotels. 
 


Additional Sustainability Efforts:

General Services Contractor & Decorator 

  • ASAE signage and booth insert graphics are printed on recyclable material and separated from non-recyclable materials at the end of the conference.????
  • Recycled carpeting provided for use inside the Expo. Post-show, all carpet is returned for reuse. 
  • All metal structures are reused and recycled from event to event. At the end of their serviceable life, these elements are 100% recyclable. 
  • Inventory props, counters, ribbon wall, and hanging sign frames are all reused and recycled from event to event. 
 

Sustainability Stations within the Expo Hall 

ASAE will once again offer sustainability stations in the expo hall for appropriate distribution to, recycle, convert food scraps to energy, and waste. 
 

Registration 

  • Print badges on-site, cuts down on waste by not pre-printing.
  • Eliminated the use of plastic badge holders.
  • Badges are produced on coated paper that is recyclable and does not require a holder. Lanyards are a combination of recycled materials and biodegradable plastic. 
 

How You Can Help

We’ve worked hard to make this year’s Annual Meeting more sustainable—but we need your help to make an even bigger impact. Together we can strengthen the event’s environmental, social/cultural, and economic sustainability. 

Here are 5 easy ways you can help: 

  1. Bring and refill your reusable water bottle.
    Skip single-use plastics and keep your bottle topped off at filling stations across the convention center. Don’t forget to stop by Destination Canada’s Booth?(1817) to fill up and pick up a fun compostable sustainability ribbon for your badge! 

  2. Pack with purpose and give back. 
    Bring along extra unused school supplies, notebooks, pens, and toiletries to donate to A Place Called Home in Los Angeles. Your donations support local kids and help clear space in your luggage for all the great finds from the Expo Hall. 
     
  3. Recycle your Daily Now newspaper. 
    After catching up on conference highlights each morning, drop your Daily Now in the recycling bins located where you picked it up—at the Convention Center or select conference hotels. Small actions add up!
     
  4. Add the sustainability walking tour to your calendar and literally walk the talk on sustainability 
    Join the behind-the-scenes walking tour (Monday, August 11, 2:00–3:00 PM) to see how composting, material reuse, energy savings, and certification choices come together to create greener events. We’ll meet at Destination Canada’s Booth?(1817) where you can also get real-world ideas on making your events more sustainable. 
     
  5. Snap and share your sustainable moments. 
    Take photos of yourself refilling your bottle, recycling your Daily Now, wearing your ribbon, walking the Sustainability tour, or dropping donations in the bin. Share them on social media using #sustainableevents and tag @asaecenter to inspire others!
